EVENTS’ PRIVACY POLICY
This Privacy Policy (hereinafter the "Policy") outlines the practices and conditions under which SEVHAN INTERNATIONAL, a company incorporated under the laws of France, with its registered office located at 135 rue de la Pompe 75116 Paris, France, registered with the Trade and Companies Register of Paris under number 934 092 782 (hereinafter the "Organiser"), processes your personal data.
This Policy applies to all data collected through the official websites of the Organiser, the online registration & logistics platforms, and dedicated mobile applications, as well as throughout your professional relationship with the Organiser.
In this document, "Personal Data" refers to any information relating to an identified or identifiable individual. This includes direct identifiers such as your name and email address, as well as indirect data such as location details, professional profiles, or online login credentials, as defined by current international data protection regulations.

The Organiser processes your personal data for specific purposes, each supported by a clear legal basis:
● Event Management & Logistics: To validate your registration and manage essential services such as hotel bookings, transfers, and catering. This processing is necessary for the performance of the contract between you and the Organiser.
● Professional Networking: To facilitate connections through the "Who’s Who" directory and the meeting module. This is based on our legitimate interest in providing a high-value networking environment, which is the core purpose of the Event.
● Communication & Marketing: To send you essential event updates (contractual necessity) and, subject to your explicit consent, to use captured media (photos/videos) or your social media profiles for promotional purposes.
● Legal Compliance: To meet our legal obligations, such as tax reporting or security requirements related to passport data in the host country.
2) Which data is collected?
We collect the following personal information, categorized as follows:
● Mandatory Data: First name, last name, professional email address, mobile phone number, passport details, and position in the company.
● Sensitive Data (Logistics & Safety): Dietary requirements and any special care or mobility assistance needed. This data is collected solely to ensure your safety and well-being during the Event (catering and accessibility) and are processed based on your explicit consent or to protect your vital interests.
● Non-Mandatory Data: Profile picture, Travel picture, Facebook, Instagram, and LinkedIn profiles.
● Event Media: We also record, film, and photograph the Event, which may capture your likeness.
3) How is your data collected?
Your data is collected through the following means:
● Online Registration: When you complete and submit the Application Form via our online application system.
● Personal Account: Information you provide when setting up and updating your Personal Account.
● Event Participation: During the Event through live streaming, filming, or photography.
4) For whom is your data intended?
Your data is intended for the Organiser’s internal teams (SEVHAN INTERNATIONAL) responsible for event management. To ensure the delivery of all services, certain information is shared with authorized third-party providers, including technical platforms (such as registration, logistics, billing and communication platforms) and logistics partners like hotels and suppliers.
Additionally, as part of the networking nature of the Event, your professional identity (name, company, and position) will be accessible to other registered participants through the Event directory. Your contact details (email address and mobile phone number) will only be shared with other participants subject to your prior approval.
5) How is your data protected?
As the Data Controller, the Organiser implements appropriate technical and organizational measures to ensure a high level of security. All data is stored on secure servers located within Europe. Access to your Personal Account is strictly protected by a unique combination of your professional email and a high-security password. While the Organiser generally avoids transferring data outside of France, Switzerland, or the host country of the Event, some technical service providers may be located in the USA, in which case the Organiser ensures that such transfers comply with applicable data protection regulations.
6) What are your rights?
In accordance with data protection legislation, you hold several rights regarding your personal information. You have the right to access, rectify, or request the erasure of your data. You may also object to the processing of your information for marketing purposes or withdraw your consent for the use of non-mandatory data at any time. You also maintain the right to lodge a formal complaint with a competent supervisory authority.
7) How long do we keep your data?
The Organiser retains your personal data for the duration necessary to fulfill the purposes of the Event and for a period of five years following the conclusion of the Event to meet legal and administrative requirements. Please note that mandatory data required for the organization of the Event cannot be deleted until the Event has taken place. Regarding image rights, photographs and videos captured during the Event are retained for the duration of the brand’s institutional history and promotional archives. This allows the Organiser to maintain a visual record of the Event's evolution and heritage over time. You may, however, request the removal of specific media featuring your likeness at any time by contacting us.
